Privacy Policy
LAST UPDATED OCTOBER 6, 2026
This policy explains what PropTalon collects, where it comes from, how it is used, and the choices you have. It is written for two audiences: our customers (account holders and their teams) and property owners whose public records appear in the Service even though they are not our customers. If you are a property owner, start with Section 2 and Section 8.
1. Information about our customers
Account data: email address, name, workspace name, team invitations, and the purpose certification you sign (with the time and network address it was signed from). Billing: handled by Stripe; we store subscription status and Stripe identifiers, never card numbers. Usage: actions in the app — searches, filters, lists, exports, sweeps, skip traces, calls — tied to your workspace, plus standard server logs (IP address, browser, timestamps). Communications: if you use the dialer, call metadata (numbers dialed, timing, duration, outcome, the line that connected) and, where enabled, call recordings. A recording disclosure is played to the called party before the call connects; you are responsible for recording-consent compliance in your outreach.
2. Property records — what we collect and where it comes from
We do not collect this information from the individuals it describes. The Service compiles records that public bodies publish about real property, and about the ownership of that property, under Florida's public-records law (Ch. 119, Fla. Stat.). Our sources are:
- Florida Department of Revenue — the statewide Name-Address-Legal (NAL) and Sales Data (SDF) files for all 67 counties, which carry parcel identifiers, situs and mailing addresses, owner names as recorded, assessed values, exemptions, use codes, and sales.
- County property appraisers — for parcel characteristics such as beds, baths, living area, and year built (currently Broward, Duval, Hillsborough, Miami-Dade, Orange, and others as we add coverage).
- County clerks of court and tax collectors — foreclosure and lis pendens filings, probate, tax-deed applications, and tax-delinquency lists.
- Municipal and county code-enforcement, permitting, and building departments — open code cases, unsafe-structure and board-up actions, expired or condemned permits (for example Jacksonville, Orlando, Tampa/Hillsborough, Miami-Dade, Fort Lauderdale, Boca Raton, Gainesville, Lee County).
- Public GIS and aerial-imagery services — county and state GIS parcel centroids (Florida Geographic Information Office), aerial orthophotos published by county governments, NOAA post-storm imagery, and Esri World Imagery as a fallback where no fresher public flight exists — used for mapping and for AI-assisted roof and property-condition assessment. We do not use street-level imagery.
- NOAA storm-event data — for weather-event context.
We access these sources through their public websites, bulk downloads, and public APIs only, within their published terms and rate limits. We never use credentials, private systems, or any access not available to the general public.
3. Commercial licensors
For customers who run a skip trace, owner phone numbers and email addresses are supplied by a licensed data vendor — currently DataSkip (with BatchData as an alternate provider) — under terms that restrict use to real-estate investment and direct-marketing purposes. We do not scrape phone numbers or email addresses from any website. Skip-trace results are returned only to the workspace that requested them.
4. What we derive
From the records above we compute parcel-level fields such as: whether the owner's mailing address differs from the property ("absentee"); whether the owner is an entity; years owned; an estimated equity range from assessed value and last sale price; the number and type of open public filings on a parcel; a Deal Score that ranks parcels by those public signals for investment research; and, where a customer requests it, an AI assessment of public aerial imagery describing visible roof or property condition. These are estimates about property, not evaluations of any person, and they are not used or offered for any decision about an individual's eligibility for anything.
5. How we use information; how customers may use it
We use customer data to operate, secure, and improve the Service, process payments, provide support, send transactional email (alerts you configure, invitations, receipts, removal confirmations), and enforce our Terms. We use property records solely to provide the Service to customers for real-estate investment research and direct marketing to property owners. Every customer certifies, in writing, that they will not use the data for credit, insurance, employment, tenant or housing screening, government benefits, or debt collection, and agrees to an Acceptable Use Policy that prohibits harassment, profiling, republication, and re-identification of suppressed records. PropTalon is not a consumer reporting agency.
6. Who receives information
Customers receive property records and derived fields within their workspace. Service providers receive only what their function requires: Stripe (payments), Supabase (authentication and database hosting), Vercel (application hosting), Twilio (telephone numbers, calls, and recordings when the dialer is used), Resend (email delivery), PostHog and Vercel Analytics (product analytics), Anthropic (AI analysis of aerial imagery and property descriptions), Esri (fallback aerial imagery), GitHub (scheduled data-refresh jobs), and the skip-trace vendor named above. We do not sell customer account information. We do not sell "sensitive" personal information as defined by Florida law. We may disclose information when required by law, to enforce our Terms, or to protect the safety of any person.
7. Retention and security
Property records are refreshed as sources update and retained while the Service covers that county. Skip-trace results (owner phone numbers and email addresses from our licensed vendor) are deleted 90 days after the lookup — the numbers, the emails, and the vendor's raw response. Within that window a result may be served from our cache to another customer who requests the same property, so the vendor is not queried twice; the 90-day clock runs from the original lookup for every copy. We do not maintain a standing database of phone numbers or email addresses. Call recordings are retained for the workspace that made the call and deleted on request. Account data is kept while the account is active and for a reasonable period afterward for legal and billing records. Suppression tombstones (Section 8) are kept permanently, in hashed form, so that a suppressed record cannot return.
We take reasonable measures to protect personal information (Fla. Stat. §501.171): encryption in transit and at rest, access limited to operators who need it, credentialed and logged administrative access, separation of production data from development, and vendor agreements with the providers above. No system is perfectly secure. Report a concern to security@proptalon.com.
8. Property owners: removal, correction, and your rights
Removal. If you are a property owner and want a record removed, use proptalon.com/remove or email privacy@proptalon.com. We honor written requests from persons covered by the Daniel Anderl Judicial Security and Privacy Act (federal judges and immediate family), New Jersey's Daniel's Law, Fla. Stat. §119.071 exempt persons, and any comparable state or federal protection — and we honor voluntary opt-outs from any owner for the properties they identify. A person reviews every request within 72 hours and completes it within 10 business days at most. Suppression applies to every customer view, search, list, export, skip trace, and aerial scan; it is permanent; and it survives every refresh of our sources. Our customers are contractually required to stop using a suppressed record.
Correction. Source records govern. We do not edit public records; if a county record is wrong, correct it with the county property appraiser or clerk and it will flow through at the next refresh. If our derived fields (Section 4) are wrong about your property, tell us and we will review.
Coverage. Florida law withholds owner names and addresses for certain persons from the public roll; those records are not in the Service. Our dataset is incomplete by design.
State privacy rights. Depending on where you live you may have rights of access, correction, deletion, or to opt out of certain processing. Email privacy@proptalon.com; we respond within 45 days and will not discriminate against you for exercising a right. Public records obtained from government sources are exempt from some of those rights under many state laws; where they are, we will still honor a removal request under Section 8.
9. Customers: your data and choices
You can access and export your workspace data from the app, manage alert emails in settings, and cancel from the billing page. To close your account and delete your account data (subject to legal retention), email support@proptalon.com.
10. Cookies
We use essential cookies for authentication and session state, and a first-party analytics cookie (PostHog) to understand how visitors and customers use our website and app: pages viewed, buttons clicked, time on site, and sign-up steps, including session recordings. Inside the app, recordings and click data are masked so property and owner information never reaches our analytics provider, and form inputs are masked everywhere. We do not use third-party advertising cookies or cross-site tracking.
11. Children; geography
The Service is for business use and not directed to anyone under 18. It covers Florida real property, is operated from the United States, and is not offered to residents of the European Union or United Kingdom.
12. Changes; contact
We may update this policy; material changes will be posted here with a new date. The privacy inbox privacy@proptalon.com is monitored on business days with the response times stated above.
